CIA. GUIDELINES FOR SETTING UP VOICE MAIL

1. Pick up receiver of your telephone and dial 3000.

2. Voice mail will answer with: "PLEASE ENTER YOUR PASSWORD AND PRESS POUND (#)"

All New Voicemail boxes do not have a password.

3. "Welcome to your new mailbox, and proceed to give you instructions to "ENTER A NEW PASSWORD AND PRESS POUND (#)."

When you enter your password and press (#), the system will repeat the password you have just entered back to you and give you the following options:

Press (1) Accept the password you have just entered.
Press (2) To have the password repeated to you by the system.
Press (5) To change the password just entered.

When you are satisfied with your password, Press (1) and the system will proceed to the next step.

4. The system will respond with "No name is recorded for this box..."

    Press (1) Accept the name
    Press (2) Review the name
    Press (5) To record your name
    Press (9) Exit without changing
    Press (5) and record your name. Example "John Doe" and immediately after you say you last name press any key. This will keep (DEAD AIR) from being recorded.

    This name prompt is what the caller hears when they dial your extension from the Automated Attendant, and when they use the dial by name directory.

    Example: The automated attendant will say: "Transferring to John Doe," using your voice.

    Example: In the dial by name directory, the automated attendant will say:

    For John Doe (in your voice), Press 1
    For Jane Doe (in her voice), Press 2

    When you press any key to end the name recording, the system responds with:

    Press (1) Accept the name
    Press (2) Review the name (plays back what you have recorded)
    Press (5) Change the name (re-record the name you just recorded)
    Press (8) Delete the name
    Press (9) Exit without changing

    Once you are satisfied with your name recording and pressed (1), the system will prompt you with…

5. "NO GREETING IS RECORDED FOR THIS BOX, IF THE GREETING IS ACCEPTABLE":

Press (1) Accept the greeting
Press (2) Review the greeting
Press (5) Record the greeting
Press (9) Exit without changing

Here is where you record your greeting.

Example: I am in the office today but am presently on the phone or have stepped away from my office. Please leave me a complete message with your name and telephone number and I will return your call just as soon as possible. Thank you.

Press any key immediately after recording your greeting to stop (DEAD AIR) from being recorded on the end of your greeting.

The system will respond: "You have recorded" and play the greeting you just recorded (in your voice).

Once your greeting has played, the system will respond with:

Press (1) Accept the greeting
Press (2) Review the greeting
Press (5) Re record the greeting
Press (8) Delete the greeting
Press (9) Exit without changing

After you are satisfied with your greeting and have pressed (1) to accept your greeting, the system will respond with: "YOU HAVE NO MESSAGES" and begin to prompt you with "TO SEND A MESSAGE".

YOU ARE COMPLETED SETTING UP YOUR MAILBOX. YOU MAY JUST HANG UP.
